We’re looking for a highly organised, sharp, and proactive Operations and Admin Lead to help us stay ahead of the curve. This isn’t a traditional admin role. It’s a key position at the intersection of sales, delivery, and operations — focused on making sure our projects, teams, and systems stay in sync as we grow.

What you’ll be doing:

  • Scheduling and Capacity Management. You’ll own the technician schedule — balancing delivery timelines, job complexity, and resource availability. You’ll make sure we never overpromise or underdeliver. 
  • Sales and Delivery Coordination.
You’ll work closely with business development and project leads to connect pipeline forecasts with real-world delivery capacity. You’ll spot clashes before they happen and keep things moving smoothly. We are growing fast and need to have a handle on future resource needs so this capacity planning and forecasting is crucial.
  • Project Tracking and Workflow Management.
You’ll track each job from quote to completion. You’ll help keep our team aligned on what’s due, what’s blocked, and what needs to happen next. You will also support our inventory management and project needs with the teams and our suppliers to ensure every job is good to go on time.
  • Operational Admin and Systems.
From CRM updates to invoicing support and system housekeeping — you’ll ensure our backend runs as cleanly as our front- end installs.
  • Reporting and Visibility.
You’ll support leadership with clear weekly updates on project flow, technician utilisation, bottlenecks, and delivery risk. You’ll help us make better decisions by having the data to back them up.

What we’re looking for:

  • Strong organisational and planning skills
  • Confidence working across functions — especially with sales and technical teams
  • Ability to manage multiple priorities without losing track of the details
  • Experience with scheduling, resource planning, or project coordination (ideally in a tech, construction, or service-based business)
  • Familiarity with tools like CRMs, spreadsheets, project trackers, and cloud systems (we use Pipedrive, Notion, and Office 365)
  • Calm, clear communicator with a proactive mindset.
